New Jadu e-forms and workflow work request process

There is a new process for submitting new work requests and enhancements to existing processes in our Jadu e-forms and workflow system. You can now complete the Jadu work intake request form (bookmark: https://z.umn.edu/ASR-Jadu-Work-Intake). This new process allows for better tracking of requests, reduces initial back and forth with business owners, and requires information necessary for the prioritization process. Business process owners should complete this going forward, and may be asked to complete it for items already on the Jadu backlog in order to provide necessary information.

This request form is only for new process and enhancement requests. Troubleshooting/support tickets, bug fixes, and minor correction requests should still be submitted by emailing asrprojectsupport@umn.edu.

Williamson Office Logistics

Equipment Check Out Form

This is a reminder to fill out the ASR Equipment Check Out Form if you have taken equipment from the office to your home. This includes your computer, monitors, docking station, etc. This form can also be used to log the equipment that you bring back to the office.


New Printer Request Form

OIT has launched a new process for staff to access printers on campus. To request access to our ASR printers, use this form: https://z.umn.edu/printeraccess. Click “Request Service” to open the form. Under “Request Details”, type “ASR” into the text field to open a list of all of our printers:

A list of all of our ASR printers can be found here. There are also maps that highlight printer locations in 130 and 160 Williamson Hall. 


Currently, users can only request access to one printer at a time, but OIT is exploring the possibility of multiple printers on one ticket in future updates. OIT is also working to remove inactive printers and update Ricoh 5503 to read 130 instead of 160. 


Space reminders

  • A reminder that when you come to the office that our desks are shared spaces. Please be mindful of others around you and keep your volume in mind. 

  • Cleaning supplies can be found around the office to wipe down a space when you are done. 

  • Each cube has a locker and small file cabinet where you can place your belongings throughout the day. If you need longer-term storage there are additional lockers in 130 Williamson. Please email asrcentral@umn.edu if you would like to check out a locker long-term. 

  • As we enter into cold months, pests will want to come inside. Please do not leave food in your lockers/cabinets.

Unit updates: Office of Classroom Management

  • Fall 2022 classroom assignments are being finalized, with about 30 classes that still need rooms. Making room for the final few classes is a strategic version of Jenga that takes much patience and time.
  • Spring 2023 class scheduling is underway across all departments and we will be closing Collaborative Class Scheduling (CCS) to centrally schedule classrooms for Spring in the beginning of July.
  • The final exam schedule for Fall 2022 and Spring 2023 has been posted, as has the CCS production calendar for Academic Year 2023-24.
  • New forms are being created! The Astra Access Request Form (ARF) was migrated to a TeamDynamix (TDX) form and the team is working with ASR-IT on a new Final Exam Request Form using Jadu.
  • Fraser classrooms went offline at the beginning of summer term. These rooms will remain offline until the Chemistry Undergraduate Teaching Laboratories project is funded.Summer classroom technology lifecycle renewals are in full swing. Many rooms this year will be upgraded with improved cameras and microphones to better facilitate learning. Visit our project page for more detail and updates.

Performance appraisals

OIT has migrated the Performance Appraisal form, and it is now available (earlier than Carin’s email indicated earlier this week). The evaluations will cover the 2021 calendar year. Supervisors will only be using overall rankings and not the individual competency ratings. If you have specific questions about the time frame or your goals from last year, talk with your supervisor.

The timeline for the performance appraisal is available below:
  • Thursday, February 10 - Jadu form available for ASR staff.
  • Friday, February 25 - Employees submit their form in Jadu.
  • Friday, March 11 - Supervisors submit completed forms in Jadu.
  • Monday, March 28 - Directors complete review on all appraisals for their unit.
  • Friday, April 1 - Directors complete review for consistency across ASR.
  • April 4-29 - Supervisors and employees meet to review the appraisal.

Proof of COVID-19 vaccination

To ensure the University meets the federal executive order first noted in President Gabel’s October message, all staff must fill out the "Report a Vaccination or Exemption" form located in MyU in the My Info tab under Vaccination. The deadline to complete the form is Friday, December 3, 2021. More information about the requirement can be found on the Vaccine Certification page, and step-by-step instructions are also available.

New PERR form

Over the past year, we have been working on a new and improved process to replace the PDR form as it hasn’t been covering our needs. The new ASR Professional Experience & Resource Request (PERR) form encompasses requests for both professional development experiences (webinars, conferences, classes, etc) and resources (computer hardware and software, books/magazines, membership dues, licenses, office furniture, equipment, etc.). You can find the new JADU form linked on the Staff Intranet page.

One Time Only Late Withdrawal update

The One Time Only Late Withdrawal form is now available for students online. This new workflow allows students to have their applications filled out, submitted, routed, and approved without having to meet in person. It also reduces the need for collecting signatures and imaging the documentations for our records. This separates the One Time Only Drop processes from the Academic Policy Petition into its own form.
