Upcoming One Stop closures

One Stop Student Services, University Veterans Services, Graduate Student Services & Progress, Financial Resolution Services, and Third-Party Billing will be closed on Thursday, June 18 for a staff event, and Friday, June 19, in observance of the University holiday. This includes phone, email, Zoom, and in-person services at all One Stop Student Services locations. Full service will resume at 9 a.m. on Monday, June 22.

The details of this closure are being communicated to both staff and students across multiple platforms. Please share this information with others as needed.

One Stop availability December 22-January 2

In-person services at all One Stop Student Services locations will be unavailable from December 22-January 2. Phone, email, Zoom, and chatbot support will remain operational during normal business hours. All services for One Stop, GSSP, Student Account Assistance, Third-Party Billing, and University Veterans Services will be unavailable from December 24-26 and on January 1 for the University scheduled holidays.

Student account payments can still be made online, by mail, or via the dropbox at the Helping U desk. All modes of service will resume on Monday, January 5, 2026. These details are being communicated to both staff and students across multiple platforms. Please share this information with others as needed.

One Stop availability during the ASR picnic

One Stop Student Services will be closed from 9 a.m. to 1 p.m. on Thursday, July 24 for staff to attend the ASR Picnic. During this time, phone, email, and in-person services will be unavailable at all One Stop Student Services locations. Offices impacted are One Stop, University Veterans Services, Graduate Student Services & Progress, Student Account Assistance, and Third-Party Billing.

The East Bank One Stop location, Graduate Student Services & Progress, and Student Account Assistance will reopen at 1 p.m. Thursday, July 24. All other locations and offices will be closed the remainder of the day. Full service will resume at 9 a.m. on Friday, July 25. This closure is being communicated to staff and students through multiple channels. Please share this information as needed.

Organizational change within One Stop Student Services

The leadership team within One Stop Student Services has been meeting regularly to discuss various strategic planning efforts with the organization. We want to ensure the best organizational structure that meets the business needs, promotes collaboration between all of the One Stop units, and aligns with our organizational goals.

Effective February 3, Lauren Peterson (Assistant Director, University Veterans Services & One Stop Student Services) and her team of Veteran Coordinators and One Stop Counselors will now report to Angie Opel, Associate Director, One Stop Student Services (with current oversight of the Student Account Assistance & Third Party Billing units).

As we reviewed the staff and their responsibilities across our units, we found natural connections within Angie's portfolio and the work we do for our student veterans and other military-connected students. This alignment will help balance our organization by distributing direct reports more effectively and streamline work across the organization. It's a great next step in fostering continued collaboration and integrating people and processes! Thank you to Karen Magness for her leadership with this transition and for onboarding Angie Opel with these new responsibilities.

One Stop Student Services will be closed 9-11:30 a.m. on Wednesday, December 11 so staff can attend the All OUE Assembly. This includes phone, email, and in-person services at all One Stop Student Services locations. One Stop Student Services

The 2023-2024 academic year has kicked off with its usual excitement and fervor for students wanting to work with One Stop. We are immensely grateful to the staff who worked tirelessly throughout this time. The One Stop team headed into "Fall Start" almost fully staffed and completely trained. This is the first time in quite a number of years! One Stop is extremely thankful for all the support from our partner offices across ASR. Thank you!

University Veterans Services
  • Handling the certification of Veteran Education Benefits for over 600 veteran and military-connected students. 
  • Navigating a new certification platform and changes to VA processing procedures.
  • Planning our annual Veterans Appreciation Event on November 9, 2023. 
  • Attending the Big Ten Academic Alliance Military and Veteran Conference at the University of Iowa. 

Financial Wellness Committee
  • Hosting workshops and attending campus events, including a workshop hosted with the Multicultural Center for Academic Excellence during Welcome Week. 
  • Managing an increase in requests for 1:1 financial wellness appointments because the pandemic pause on federal loan repayments is ending, and most borrowers are set to resume repayment this month.

Graduate Student Services and Progress
  • Meeting with cohorts of newly hired Graduate Program Coordinators to help them learn about important resources for their work, system access, and GPAS basics. 

Chatbot
  • Launched the One Stop Student Services chatbot officially on October 2, 2023, which replaces One Stop’s live agent chat with conversational AI technology provided by Ivy.ai. This new service allows One Stop to shift resources to other communication methods where they are better suited to answer student-specific questions.

Student Account Assistance
  • Kicked off Third-Party Billing policy changes to better align with the policies and processes of our peers from the Big Ten and AAU. 
  • Moved the late payment policy for sponsors from 90 days to 45 days, which will notify students earlier in the process if there are issues with a sponsored payment, and allow them additional time to secure alternative funding if necessary before the term ends.
  • Implemented an authorization acceptance policy with a deadline of the last day of the term. This will alleviate issues with repackaging financial aid and issuing refunds and the potential for prior year adjustments to 1098-T forms. 

Billing dates
  • Shifted the billing due dates to allow students and families more time to arrange their finances. The turnaround time proves to be quite short in the Fall term for students requesting funds from their college savings plans (i.e., 529 plans), applying for private loans, arranging funds to come from international banks due to holidays, etc. 

Homecoming
  • Happy Homecoming! A big thank you to all that supported One Stop and ASR’s participation in the homecoming parade. It’s a cherished tradition! GO GOPHERS!

West Bank One Stop location closing

The One Stop West Bank location will be permanently closing. The last day of service at this location will be on August 18, 2023.

Since returning to in-person services in 2021, the One Stop West Bank location has seen a significant drop in in-person visits from students. To best serve students and manage staff resources, we are consolidating One Stop locations.

One Stop Student Services will continue to provide in-person service at our East Bank (Bruininks Hall) and St. Paul (Coffey Hall) locations. Additionally, students have the option of meeting with a One Stop counselor by Zoom appointment, chat, email, and phone.

There are many past One Stop staff who remain in ASR and have fond memories of the small but mighty West Bank office. Thank you to the many in One Stop and across ASR who have supported the West Bank One Stop office over the years.

  • One Stop Student Services, University Veterans Services, Graduate Student Services & Progress, Student Account Assistance, and Third Party Billing will be closed 8 a.m.-1 p.m. on Thursday, July 27 for the ASR Picnic. This includes phone, email, and in-person services at all three One Stop Student Services locations, Student Account Assistance, and Third Party Billing. 
    • All services will resume at 1 p.m. on July 27, except for the West Bank and St. Paul One Stop locations, which will remain closed the entire day.

  • The Financial Wellness Committee is attending the Higher Education Financial Wellness Alliance (HEFWA) Summit hosted at the University of Oregon July 15-18. This professional development opportunity has been great for collaboration and networking as we continue to grow our Financial Wellness offerings. Ralph Daby and Erin Anderson will lead a session titled “Connecting Underrepresented Student Populations with Financial Wellness.” 
  • The One Stop chatbot project has entered its testing phase. Counselors are working with the project team to build up the bot’s brain in preparation for the October launch date.
  • Is summer over already? New student orientation is almost complete! One Stop counselors have met with new students and families and have provided two presentations daily throughout June and July. Next week is the final full week of on campus orientation. Welcome to the Class of 2027!

One Stop Student Services

  • Financial Wellness
    • We’ve been busy conducting outreach presentations for campus stakeholders. We have collaborated with the Multicultural Center for Academic Excellence (MCAE), Carlson School of Management Undergraduate Business Board, the Asian Pacific American Resource Center (APARC), Athletics, and the Wallin Scholarship Group! 
    • We are wrapping up our busy outreach season, and looking ahead to the 2023 Higher Education Financial Wellness Alliance (HEFWA) Summit in July. The summit is hosted by the University of Oregon in Eugene. 
  • Graduate Student Services and Progress (GSSP)
    • GSSP is quickly approaching the busiest time for degree clearances. The team is currently focused on advising students and departments on graduation steps. 
    • The GSSP Coordinator search is currently underway, and we hope to have the position filled very soon. 
  • One Stop’s Diversity, Equity, and Inclusion (DEI) Committee
    • We’re in the midst of facilitating an April Booster series for One Stop, GSSP, and UVS. The Booster series are small group discussions focused on DEI themes. This installment is centered on best practices for supporting students and their families who are new to the University, and have little knowledge of the University/financial aid complexities. 
  • UMR One Stop
    • UMR One Stop welcomes Caleb Smith (see below)! 
    • UMR One Stop has also been presenting to prospective and incoming students and preparing for New Raptor Advising & Registration (NRAR).
  • Student Account Assistance
    • Fall registration has started, which means a jump in contacts from students with past due balances and requests for hold appeals.
    • With the end of spring term approaching, graduating students were sent electronic invites to complete their Loan Exit Counseling. This results in a lot of calls and emails from students asking if this is a necessary process, and from others who are not actually graduating but haven’t changed their EGT.
  • New Student Orientation
    • One Stop preparations are underway for summer orientation. One Stop will be presenting a general One Stop information session as part of Parent and Family orientation and delivering a breakout session—Managing College Costs—for students and families. Students and families are encouraged to visit One Stop as part of the first-day resource fair, or whenever is convenient while they are visiting campus. New student and transfer orientation begins June 1!

OS Financial Wellness Committee

The One Stop Financial Wellness Committee is tabling at GradFest in the Great Hall in Coffman Memorial Union, Wednesday March 22 and Thursday, March 23. The committee will be advertising their financial wellness appointments for soon-to-be graduates and informing students that they can still schedule financial wellness appointments up to 6 months after graduation.

One Stop Student Services

  • The Financial Wellness committee is preparing to support graduating seniors at GradFest on March 22 and 23. This is an opportunity for students to discuss student loan repayment and personal finances prior to graduating.
  • UMR One Stop is hiring a One Stop Counselor 3! If you know anyone in the Rochester area that would be interested and a good fit, please encourage them to apply! 
  • The GSSP team is in the process of reviewing and updating their strategic plan, first created in 2018/2019. The team’s short, mid, and long-term goals are being updated to reflect the current climate and changes in the grad and professional student experience. 
  • One Stop is looking forward to launching the Chatbot project in February. The project will utilize the Agile project management framework. OIT and Ivy, the chatbot vendor, will be supporting ASR in this project.
  • Student Account Assistance is experiencing the jump in payments before Sunday’s due date, and is working hard to get the mail bag of payments applied. This increase is across all methods of payments and will continue past the due date.
  • Third Party Billing has gotten all internal & external billing authorizations loaded into PeopleSoft, which means student account balances reflect the credits and show the correct amount due. Spring term is always a challenge as they start receiving them in December, but cannot start entering them until January (it’s a 1098-T thing).

One Stop website launch

The redesigned One Stop website for each University of Minnesota campus will launch the morning of Monday, July 18, 2022. The main URLs (links) to the websites will not change. This includes:

onestop.crk.umn.edu (Crookston)
onestop.d.umn.edu (Duluth)
onestop.morris.umn.edu (Morris)
onestop.r.umn.edu (Rochester)
onestop.umn.edu (Twin Cities)

As part of the transition, we anticipate 5 to 10 minutes of downtime on all campus One Stop websites between the hours of 6:00 a.m. and 8:00 a.m. We expect the new sites to be available by 8:00 a.m. on July 18.

One Stop website soft-launch

Starting tomorrow all ASR staff can participate in the One Stop website soft-launch!

On July 1, 2022, links to the unpublished sites will be available on the One Stop website upgrade project page. These soft-launch links will allow university staff and faculty access to explore the unpublished redesigned One Stop websites for each campus. The soft-launch links will be available until the redesigned sites are “live” and published in place of the existing One Stop website on July 18, 2022.

The primary purpose of the soft-launch is to allow for staff exploration and self-directed learning before the sites are made public to students. Self-directed exploration of the site allows for:
  • Self-paced learning
  • Individual depth of knowledge needs
  • Varied use cases

One Stop website redesign demo event





All university staff and faculty are invited to join a virtual event about the upcoming launch of the redesigned One Stop website. Many of you have already seen an overview of the new One Stop site, but for our student support partners across the system, this will be a first look.

Please join us for a demo if you’d like to see the latest and greatest version of the site and learn how a focus on user experience influenced the site’s redesign. You can register for the event below.

We will also provide details on how you can participate in the upcoming soft-launch to familiarize yourselves with the new website before it’s made public to students. This event will be recorded and posted on the One Stop website upgrade project page so that anyone unable to attend will still have an opportunity to review all of the information.
