WorkflowGen sunsetting and retirement

ASR E-forms & Workflow Services, all of ASR, and our system-wide partners can finally celebrate! After first talking about WorkflowGen (WFG) retirement in fall 2021 and working on transition projects and retirement planning since then, we launched the new solutions for our final 8 processes that were in WorkflowGen on Monday and Tuesday of this week! Over the past 4 years we transitioned/retired 28 processes:
  • 19 processes have new solutions built in Jadu
  • 3 processes transitioned to automated PS query/checklist processes
  • 3 processes have forms built in Qualtrics
  • 2 processes were no longer needed and retired
  • 1 process is now a TDX ARF
Thank you to everyone who worked on these projects and for your support and patience through these changes.

WFG Retirement Important Dates
  • Now through January 2, 2026—All WFG processes are in “archive” status. No new requests can be submitted. Any in progress requests can and should be completed within WFG.
  • January 2, 2026—WFG is turned to Read-Only status. Any in-progress requests are frozen. Data can still be pulled from the system if needed.
  • January 3, 2026—WFG is turned off and inaccessible to everyone. OIT will finalize data and system deletion.
If you have any questions about the retirement or need help pulling data for a process through the end of January, please contact asr-eforms-help@umn.edu.

Student Services Fee Waiver

On December 15, the new Student Services Fee Waiver will launch in Jadu. The former WorkflowGen process has been retired. This implementation allows for automated activation and deactivation based on tuition calculation and required deadline dates, and automatically routes UMR requests to the Rochester One Stop. The Student Services Fee Assessment request, which is already in Jadu, has also received some updates to align with the new waiver process.

Thank you to all those who contributed to the final product: Eric Anderson, Erin Anderson, JoJo Botzet, Ryan Ceresnak, Jess Clem, Karen Magness, and Fuechee Yang.

New Jadu e-forms and workflow work request process

There is a new process for submitting new work requests and enhancements to existing processes in our Jadu e-forms and workflow system. You can now complete the Jadu work intake request form (bookmark: https://z.umn.edu/ASR-Jadu-Work-Intake). This new process allows for better tracking of requests, reduces initial back and forth with business owners, and requires information necessary for the prioritization process. Business process owners should complete this going forward, and may be asked to complete it for items already on the Jadu backlog in order to provide necessary information.

This request form is only for new process and enhancement requests. Troubleshooting/support tickets, bug fixes, and minor correction requests should still be submitted by emailing asrprojectsupport@umn.edu.

New PERR form

Over the past year, we have been working on a new and improved process to replace the PDR form as it hasn’t been covering our needs. The new ASR Professional Experience & Resource Request (PERR) form encompasses requests for both professional development experiences (webinars, conferences, classes, etc) and resources (computer hardware and software, books/magazines, membership dues, licenses, office furniture, equipment, etc.). You can find the new JADU form linked on the Staff Intranet page.

For questions about the PERR process, contact Megan at asrcentral@umn.edu. If you have any technical issues with the workflow, email asrprojectsupport@umn.edu to open a ticket with the PWF team. Please reference the PERR FAQs document for further information.
